On Candidate Privacy Notice
On AG, Pfingstweidstrasse 106, 8005 Zurich, a Swiss Corporation (“Aktiengesellschaft”) or the respective On group company, which according to the respective data protection laws applicable to you is responsible for the processing of your personal information (hereinafter referred to as "On" or "we/us") is committed to responsibly handling your personal information. This privacy notice (the "Privacy Notice") explains how we collect, use, disclose, retain, and protect your personal information, and certain rights you may have relating to such use.
What types of personal information we collect
Personal information is data that can be used to directly or indirectly identify you (the "Personal Information"). We collect Personal Information that you voluntarily provide to us for the purpose of processing your application. The Personal Information we collect includes, but is not limited to, your name, postal address, e-mail address, phone number, date of birth, education and employment history.
How we use your Personal Information
Your Personal Information will be processed to assess your suitability for a particular position or for managing other recruitment and/or employment related activities. We may, for example, use your information to contact you, schedule interviews and to conduct skill assessments.
Any Personal Information you provide to On as part of the application process may also be used to: (i) conduct a background check to verify your employment history or any other relevant information (if applicable), (ii) process your application for other open positions which may be suitable to you and (iii) may be retained in our talent database (“Talent Database”) for consideration of similar positions that may arise in the future.
Additionally, if your application is successful, we may use your Personal Information to make you an offer of employment, to onboard you as part of our organisation in line with our standard processes and to retain your employee file in accordance with applicable regulations.
Lastly, certain demographic data may be collected on a voluntary basis as part of On’s legal obligations, and/or to further assist with our efforts related to the implementation and measurement of our diversity and inclusion efforts. You can rest assured that your responses will be kept confidential and will only be further shared (i) to fulfil the aforementioned purpose, (ii) to the extent that there is a lawful basis for doing so and/or (iii) to comply with applicable legal requirements. Your application will not be impacted in any way by your responses or your decision not to provide any responses to these questions.
Our Basis for using your Personal Information
When processing your Personal Information for the purposes described herein, we rely on your consent to this Privacy Notice, our legitimate interests in the evaluation and selection of candidates or another ground for lawful processing of your Personal Information under the applicable laws and regulations.
How we might share your Personal Information
We may disclose your Personal Information to the following parties for the following purposes:
- On affiliated companies around the world to contact you about job openings. Due to our international company and management structure your Personal Information can also be accessed by On personnel that may be based in locations other than the country in which the legal entity you applied for is located.
- By third party service providers, such as recruiting tools for candidate application management, cloud service provider for the storage of data, scheduling tools to arrange calls, travel tools or softwares to arrange for transport and/or accommodation and/or other tools for recruitment or employment related activities as the case may be.
- Other third parties pursuant to a court order or request of any governmental authority or regulator or as required by law or regulation.
On is a global company and as a result, the above-mentioned entities may be located in countries/regions that do not provide a level of data protection comparable to the level in your home country. In the scenario where we share personal data to jurisdictions that do not offer an adequate level of data protection, we impose appropriate contractual obligations and standards in compliance with the relevant data protection principles.
How long we keep your Personal Information
Your Personal Information will be retained by On for as long as is necessary to (i) evaluate your application for employment, (ii) to meet the purposes for which the Personal Information was collected and (iii) for the periods specified by applicable legal requirements.
If your application at On is unsuccessful, your profile will be added to Talent Database, so that we may contact you about a potential role even after the application period for the position you had applied for has closed. Your profile will be kept in our Talent Database for a period of two years.
In certain cases, special retention obligations may apply due to legal requirements, in which case your Personal Information may be kept longer.
How we protect Personal Information
We restrict the use and access to your Personal Information to those who have an absolute need-to-know. We maintain appropriate technical, physical and organisational measures to help protect your Personal Information from unauthorised access, disclosure, modification, loss or destruction in accordance with applicable data protection and security laws.
As with all online mediums, the storage and transmission of electronic information is unfortunately not always completely secure. Although we strive to protect your personal information, we cannot guarantee the security of information stored on our or our vendors’ servers or transmitted via email; you transmit Personal Information to us at your own risk.
Your Rights
You have the right to know what Personal Information we process about you and may request a copy. You are also entitled to have incorrect or incomplete Personal Information about you corrected or completed and you may ask us to delete your Personal Information. You can also object to certain Personal Information about you being processed and request that processing be limited. Please note that the limitation or deletion of your Personal Information may mean that we will be unable to provide the services and information described above. You also have the right to receive your Personal Information in a machine-readable format and have the information transferred to another party responsible for data processing. You also have the right to contact the data protection supervisory authority in your country of residence.
